Work productivity is one of the biggest challenges facing modern businesses. Resources such as time, personnel, and projects require that the services offered function effectively. Task management tools such as Asana are transforming the way organizations plan, organize, and execute tasks.
To better understand the impact of this platform on team productivity and collaboration, especially in creative and multidisciplinary teams, we spoke with Daniela Silva, CMO, specialist in project management and online brand image.
With several years of experience at a marketing agency, Daniela shared with us how Asana transformed the way her team works.
In recent years, we have witnessed a real revolution in the way we work. How can Asana transform the way teams work?
Asana is much more than just a task management tool.
We all know that the biggest enemy of productivity is not a lack of commitment, but rather a lack of organization and visibility. Asana was created precisely to address this issue: it centralizes tasks, responsibilities, and deadlines in a single digital space.
By centralizing information, Asana eliminates noise, reduces duplication of effort, and provides a clear view of progress.
The big difference is visibility. This means that each member knows exactly what they need to do, what the priorities are, and how their work contributes to the goals of each project.
In your opinion, what features make project management easier?
Without a doubt, visual organization and automation.
In marketing, we work on many campaigns simultaneously: social media, design, content production, reports.
With Asana’s Kanban boards and calendars, we can see the flow of each campaign from start to finish, and with automations, we’ve eliminated several repetitive tasks, such as sending reminders or internal approvals.
Another essential feature is dependency tracking: knowing that one task only begins when another ends prevents bottlenecks and miscommunication.
Furthermore, integration with other tools such as Slack, Google Drive, or Everhour simplifies processes and prevents dispersion.
All of this contributes to more efficient and aligned teams, with fewer dependencies and more autonomy.
And in terms of productivity, what results did you observe?
Team productivity has increased significantly.
What used to take days to align is now easily resolved.
I believe that the big difference lies in clarity. Everyone knows what they have to do, when, for which client or project, and with the respective priority. This eliminates stress and repetition of tasks.
In addition, Asana promotes a culture of shared responsibility. There is no more “I didn’t know” or “nobody told me”; everything is visible and recorded on the platform. This increases the sense of commitment within the team.

What about customers? Has Asana also brought benefits to customer relationships?
Absolutely!
With Asana, we can share projects directly with clients in a controlled manner. They have access to updates, can approve content, and leave feedback in the workspace itself.
This has significantly reduced response times and increased transparency.Customers feel more involved and valued because they perceive that there is method, rigor, and follow-up. And this reinforces the agency’s image of professionalism.
What challenges did you face when implementing Asana?
The biggest challenge was undoubtedly changing habits.
At first, the team was used to managing tasks in their own way, with personal and perhaps more traditional methods.
Implementing Asana required a period of adaptation, but we invested in internal training and close monitoring.Today, no one can imagine working without it. The secret was to start slowly: few projects, clear and simple rules, and we added functionality as a team, up to task automation.
But what about all the other areas? Do you consider Asana to be a tool only for marketing teams?
Not at all. Asana is highly versatile.
It works for any team that needs to organize workflows, whether it’s human resources, operations, finance, or product development.
The truth is that, regardless of the field, everyone can benefit from the visibility and structure that Asana offers. It is an incredible tool that helps create discipline without losing flexibility.
Looking ahead, do you believe tools such as Asana will be essential?
Without a doubt!
The future of work is collaborative, remote, transparent, and data-driven.
Tools like Asana aren’t just useful, they’re indispensable. They enable companies to grow in an organized way, while staying focused on people and results.
Companies that adopt integrated management tools are able to reduce wasted time, increase accountability, and foster more autonomous and capable teams.Personally, I can say that Asana has been a game changer in how I lead the team. We’ve gained more time to think strategically, be creative, and deliver real value to our customers.
The testimony of Daniela Silva, CMO of UpWeGo, reflects a reality that is increasingly present in modern companies: when applied correctly, technology does not replace people, it empowers them.
Asana is proof of this, combining ease of use with robust features that drive productivity and build a culture of efficiency and purpose.
In an era where time, focus, and collaboration are precious resources, tools like Asana become true allies for teams that want to work smarter, not just faster.
