When Elissa Hudson became HubSpot’s PR lead for the APAC (Asia Pacific Countries) region in 2018, she had a big task on her hands: to increase brand awareness by promoting media coverage in key APAC countries.
Manual task tracking has created an administrative nightmare
Elissa worked with three PR agencies, as well as with colleagues from different continents, and reported directly to the regional director in Singapore. It managed a large number of tasks from different time zones.
To do daily task planning and project management, I used to use only a pen and paper. However, this system was far from ideal and led to the following problems:
- Some important actions and tasks in media project management were getting forgotten, resulting in missed business opportunities.
- The tasks were not completed quickly enough.
- There was no single view of how each media project was progressing, making it difficult to predict whether or not goals were being met each month.
From chaos to centralized management
The team needed a tool that would allow them to seamlessly manage pipelines, personal tasks, and collaboration with managers. The tasks needed to be independent so that they would not be neglected, but they also needed a system that would provide an overview of the project’s progress.
Asana offered an intuitive and easy-to-use interface, with integration with two essential tools for teamwork: Gmail and Slack. Most importantly, Asana allowed processes to be standardized and brought tasks together into specific projects and frameworks. This allowed for easy completion of tasks and an effective way to track developments in each region.

The team makes the most of Asana projects, all opportunities are color-coded by region and categorized based on their stage of development.

Simplified scale growth
Elissa is growing its internal team to power media coverage in its key regions and will use Asana as a base for integration and collaboration.
