Whale and Dolphin Conservation is an institution whose work has been optimized by 25% thanks to the introduction of Asana in the organization. The case study we present today demonstrates the flexibility of this tool in the most diverse contexts, regardless of its objectives.
Challenge
Whale and Dolphin Conservation (WDC), based in the UK, is a social institution with 90 employees on four continents and various time zones that aims to protect marine life.
Chris Butler-Stroud, CEO of WDC, realized that email-based work and information management was resulting in deadlocks between departments and creating a general lack of transparency. Chris noted that:
- e-mail discussions often excluded people who needed to receive critical information for their work;
- the jobs assigned by e-mail were not visible to other people, which did not support accountability;
- Since there was no team consensus on what a completed project should look like – nor a clear way to keep track of the work – projects sometimes remained unfinished.
His team needed to look for a work management tool that could help them get to the next level.
“The information in the emails was lost or not easily accessible, especially if you didn’t know the conversation was happening.”
– Chris Butler-Stroud, CEO
A Platform for Teaming
WDC needed a single space to manage projects from start to finish, that is, a tool that:
- allowed to assign tasks in a clear and transparent way;
- let him communicate relevant details of the project to everyone involved, as well as to those who would join the project later;
- count and measure time;
- help define future projects.
Results
At first, the idea of switching to a new software platform and overhauling the entire work process was daunting. To ensure a smooth transition, without demotivating the team, WDC has developed a program of coaching sessions and Asana champions (the “experts” in the organization).
Today, everyone at WDC manages their programs in Asana:
- The fundraising team tracks opportunities for collaboration with corporate partners;
- The marketing team created a calendar of activities with publications on the social networks.
Once the new workflows were established with Asana, the teams realized that it took 25% less time to produce Whale & Dolphin, their magazine for supporters. With more effective and timely execution across the board, a greater percentage of donations are being allocated directly to conservation needs.
The move to Asana resulted in shorter meetings and focused decision making, because other decisions were already streamlined in Asana. Thus, the organizational culture has undergone its own transformation. Teams now better understand how their work relates to WDC’s goals, and can see their specific contribution, feeling strongly aligned with the organization’s mission and proud of their personal impact.
Do you see yourself in any of these scenarios: too many emails, lack of transparency, or loss of information? Learn how Asana can take your team to another level.
